Privacy notice
1. Who is responsible
The event organizer decides how photos are used here and is responsible for your data. sama-sama only runs the photo wall for them and follows their instructions. Questions: mail@vayv.tech.
2. What we keep
Your username, a guest ID, the photos and captions you share, and the times you shared them. No real name, no email and no phone number, unless you choose to fill in the optional interest form (then your name, email, event type and, if you give it, phone). Our hosts also keep basic technical logs, such as IP addresses.
3. Where it is shown
On the event wall and screens at the event, where other guests can see it. If the organizer turns it on after the event, also in a gallery for people who have the event link, until the deletion date below. Gallery photos carry a sama-sama watermark, and anyone can ask for a photo to be removed with “Remove this photo”.
4. The organizer’s and hosts’ copy
After the event, the organizer and the people the event was for (the hosts) may download a copy of the photos to keep as a private memory. That copy is theirs, and our deletion date does not reach it. Photos you deleted, or asked us to remove, before the download are not included. Photos have no location data.
5. Why we may do this
Because you agree. You can change your mind any time by deleting your photos in “My photos”. If you appear in someone else’s photo, ask and it is removed.
6. Children and minors
Photos of children: only share them if a parent or guardian says OK. Under 13? Ask a parent or guardian to agree with you. We don’t check ages, so we trust you. A parent can ask us to remove any photo of their child, from the wall and from the gallery. The organizer looks over the photos before turning the gallery on.
7. How long
Photos are deleted on the date set by the event organizer (no later than three months after the event), no later than three months after the event. The organizer can delete them sooner, and you can delete your own any time. Save your own photos before then.
8. Delete or report
Delete your own photos any time. If a photo of you was shared by someone else, use “Contact the moderator” (My photos tab) and it will be removed.
9. Where it is stored
Photos are stored on EU servers (Supabase). The website is hosted by Netlify. The optional interest form is provided by Tally (data stored in the EU) and loads from Tally’s servers when you open the Upload page or the gallery. No analytics, no advertising trackers.
10. Feedback and the optional interest form
If you answer the short feedback questions, we keep your answers so the organizer and sama-sama can improve the service (with your guest ID if you are a guest; feedback sent from the gallery has no name). We only quote a comment, without your name, if you tick the box that says so. The “Want sama-sama at your next event?” form is optional and has nothing to do with seeing photos. If you send it, sama-sama (vayv.tech, Oslo, not the organizer) may contact you about using sama-sama at your own event. We only send news and offers if you tick the separate box in the form. You can unsubscribe at any time, and you can ask us to delete what you sent.
11. Your rights
You can ask to see, correct or delete your data, object, or withdraw your consent (mail@vayv.tech). You can also complain to Datatilsynet (datatilsynet.no).
Terms of Use
1. Your content, your responsibility
You are responsible for what you share and need OK from people clearly shown. Never share nudity or sexual content, anything that sexualises or exploits anyone (especially children), violence, hate, harassment, threats, or anything harmful or illegal. It will be removed and may be reported to the police.
2. Limited licence
You keep ownership. You let the event organizer and sama-sama store and show your content only to run this event’s photo wall and, if the organizer turns it on, its after-event gallery, until it is deleted. You also let the organizer and the hosts keep a copy for their own and their family’s private use; they may not post it in public without asking you and the people shown. If a host posts a photo in public anyway, that is the host’s responsibility, not sama-sama’s. Delete a photo to remove it from the wall and gallery; copies the organizer or hosts already downloaded are not affected, but you can ask them to delete.
3. Gallery photos
Photos in the gallery are for looking back at the night. Do not repost other guests’ photos in public without asking the people in them.
4. If your content causes a claim
If you break these rules and that causes someone a loss, you may have to make up for it under Norwegian law.
5. The organizer decides
The event organizer runs the event, decides what appears on the wall, and may hide or remove anything at any time.
6. sama-sama’s role
sama-sama only provides the technology. sama-sama, vayv.tech and the people who run them are not responsible for what guests share or what the organizer decides, and not liable for indirect loss, except where the law says otherwise, such as serious fault or our own data-protection duties.
For hosts: privacy
1. If you organize or host an event
We (sama-sama, vayv.tech, Oslo) use your email to send you the event’s photos and one thank-you message. We got your address from you or from the event organizer. We log when your link is sent and used and how many downloads were started, to keep the photos safe; that log is deleted 30 days after the link expires. There is no open or click tracking. If you give a rating or a quote, we keep it as described when you send it. Email goes out through our EU mail provider, and data is stored on EU servers (Supabase). Questions or deletion: mail@vayv.tech. You can also complain to Datatilsynet (datatilsynet.no).
2. Your quote
A rating or quote is optional and has nothing to do with your download. We only share your words publicly if you tick the separate box, and only in the way you chose (without your name, or with your first name and the type of event). To withdraw, reply to our email: we remove it from our website within 14 days and delete our own posts. We cannot recall copies others have shared.
For hosts: terms
1. Your copy
The photos belong to the guests who took them. You may keep them and share them privately with family and friends.
2. Posting in public is your responsibility
If you post photos in public (for example on social media) or use them commercially, you do so yourself and you are responsible for it. First get the OK of the guest who took the photo and of the people clearly shown, and a parent’s OK for any child. sama-sama and vayv.tech do not check or approve what you post.
3. Keep it safe
Do not forward your link. If someone shown asks you to take down or delete a photo, especially a parent about a child, please do.
4. Our part
We provide the link until the date shown, then it stops working. We delete our copy on the event’s deletion date. We are not responsible for what you or others do with the photos after download. This does not limit liability the law does not allow us to limit, such as for our own intent or gross negligence or our own data-protection duties.
For organizers: terms
1. You run the event
You create the event and decide how its photos are used. You are responsible for the event and for the photos guests share there. You tell your guests how photos are used. sama-sama runs the photo wall for you and follows your instructions.
2. Before the gallery and the keepsake
You look over the photos before you turn the gallery on or send the keepsake link to the hosts, and you hide or remove anything that should not be there.
3. Sharing in public is yours
If you or the hosts post photos in public, that is your responsibility, not sama-sama’s or vayv.tech’s. First get the OK of the guest who took the photo and of the people clearly shown, and a parent’s OK for any child.
4. Our part
We provide the wall, the gallery and the keepsake link with reasonable care, and we delete the photos on the deletion date. We are not responsible for what you, the hosts or others do with the photos. This does not limit liability the law does not allow us to limit, such as for our own intent or gross negligence or our own data-protection duties.
